Austin Fleet Services is hiring for a part time Front Counter Assistant to add to our growing business! We are a mobile and in-shop fleet maintenance and repair company. If you are ready for a shop where your voice counts, we are looking for you!
The Front Counter Assistant sources, manages, and sells commercial vehicle parts through repair orders as well as assists the front office in various activities.
Job Description:
Keep orderly records of all repair orders, invoices, and special order parts.
Ensure all parts movements are performed in the shop management software timely.
Receive parts and management inventory balances and part numbers including cycle counting.
Ensure that all sales & inventory movements are properly documented per policies.
Track credits for parts returned, ensuring that the original invoice, or its number, is available so that purchase and pricing can be verified.
Responsible for core returns – per procedure.
Set up orders for shipment, delivery, or pick-up.
Always ensure the best customer service possible.
Provide general administrative and clerical support including mailing, scanning, and copying for customers, vendors and management.
Customer data entry and document filing.
Manage the customer appointment schedule.
Liaison with transporters and run company errands & vehicle transportation.
Answer & direct calls from customers.
Ensure day to day operations performed efficiently at the front of the house.
Greet clients, suppliers, visitors to the organization.
Use computer word processing, spreadsheet, and database software to prepare reports and documents.
Purchase, receive and maintain the office supplies.
Provide secretarial and administrative support to management and other staff.
Provide communication required in working with guests, vendors, and coworkers and including the ability to communicate effectively and remain calm and courteous under pressure.
Post checks, credit cards and cash to RO’s.
Any additional duties needed to complete the repair order from start to finish
Requirements:
Professionalism
Leadership Skills
Valid driver's license
At least five year's experience as a parts specialist or similar.
Proficiency in MS Outlook, Excel, and Word.
Excellent verbal and written communication skills.
Impeccable organization skills and follow up abilities.
Ability to multitask in a fast paced environment.
Good time management and problem-solving skills.
A willingness to work long hours, if needed.
